Owned, co-owned or hired in: the cost of a hire

Who owns the machine decides what a hire costs.

Steps

  1. On the asset (Lease & rentals โ†’ Assets โ†’ the asset), under Ownership, choose: Owned by us, Co-owned with a partner (the partner's share of the proceeds, e.g. 40%) or Hired in from a partner (their rate an hour, e.g. 5,000), and the partner (a supplier).
  2. On the machine's Hours & billing page, Settle the partner for a period: Navigate works it out from the approved hours - hired in: hours ร— the partner's rate; co-owned: the proceeds ร— their share (less the shared costs, if they share them) - and raises the partner's supplier invoice (posted with their invoice number, or a draft until it arrives).
  3. Direct costs: Charge the working days for the operator and turn man - say whether they are casual (accrued) or on payroll (moved from salaries) - and add servicing, repairs and fuel for the margin.
  4. The Margin panel: earned revenue (approved hours ร— the rate), less the partner and the direct costs. Invoiced, and how much of it is still in advance, are shown beside it.

Good to know

  • Owned: the machine's purchase is not a cost of the hire - its depreciation is in the asset register. Hired in: the partner's charge is a cost of sales (third-party equipment hire); co-owned: the partner's share is a cost of sales (partners' share - co-owned equipment).
  • Owned and co-owned machines must be in the fixed-asset register (co-owned: at your share of the cost). A machine hired in is the partner's: add it with Add an owner's asset, not from the register - Navigate refuses to mark a register asset as hired in, or an owner's asset as owned.
