Record rental expenses against an asset or lease

Fuel, repairs, insurance, operators - through your usual expenses, petty cash and supplier invoices.

Steps

  1. Record the cost as usual - an expense, a petty cash payment, a staff claim or a supplier invoice - using the rental expense items (e.g. *Fuel and lubricants*, *Minor repairs*, *Third-party equipment hire*).
  2. On the line, choose the Vehicles & assets code: the asset (e.g. R-FA-RFE-000012) - or the agreement (L-LSE-000004) for a cost of that contract only.
  3. A cost coded to an asset counts against the agreement it was on hire under that day; one coded to an agreement is a direct lease cost.

Good to know

  • Approval limits and duplicate checks of the existing workflows apply.
  • A rental cost posted without a code shows in Exceptions and in Shared costs, where you can spread it.
