Fleet costs, TCO and reports

Cost per km, consumption, utilisation, total cost of ownership and department usage.

Steps

  1. Go to Fleet management → Costs & reports and choose the period, category or branch.
  2. For each vehicle: fuel, maintenance, tyres, insurance & licences, other, operating cost, depreciation, distance, cost per km / hour, consumption against the benchmark and utilisation.
  3. Below: the lifetime TCO (acquisition + running costs − disposal proceeds), usage by department, and replacement candidates (maintenance over half the book value, past useful life, repeated repairs).

Good to know

  • Costs come from the ledger - anything coded to the vehicle in the "Vehicles & assets" dimension, from Expenses, Purchasing, Inventory, Petty cash or journals.
  • If a fleet budget exists in Accounting › Budgets, the dashboard and report compare fleet spend with it.
