ERP alternatives to SAP Business One for SMEs

Navigate publishes this guide and is one of the alternatives in it. SAP Business One remains a sound choice for many growing companies, particularly those that value its large partner network and global reach. SMEs looking elsewhere usually want lower total cost, faster setup, open source control or closer local fit, so the right alternative depends on which of these is driving the search.

About this guide

We sell a product that competes with SAP Business One. We also connect to it, because some businesses run both. Read our view with that in mind, and ask a SAP partner for their response. We read vendor pages on 31 October 2026. SAP's main product page did not load for us, so the SAP facts come from its news and support sites. We list no SAP price because we could not read one.

Where SAP Business One is strong

If a parent company requires SAP, or you expect to move up to larger SAP products, these are real advantages. Do not leave SAP Business One only because a guide like this suggests alternatives.

  • It covers accounting, purchasing, inventory, sales, CRM and reporting.
  • SAP says it has more than 83,000 customers and 1.2 million users in over 170 countries.
  • It is supported by 850 partners, who build more than 500 industry and country extensions.
  • It supports 28 languages and 50 country localisations, and SAP says companies can begin with one user and expand.
  • It is sold, implemented and supported through the partner network, so a good local partner can give you hands-on help.

Selection criteria

  • Why are you looking? Name the actual reason: cost, speed, a poor partner experience, or a missing feature. Changing partner may solve it without changing product.
  • Total cost over three to five years. Ask for licences, maintenance, implementation, add-ons and change requests separately.
  • Local fit. Ask how eTIMS, M-Pesa and statutory payroll are done, and by whom.
  • Who can change it. Can your staff configure reports and rules, or must each change go through a partner?
  • Reach. How many countries will you operate in during the next five years?
  • Migration. What data comes across, and what happens to integrations and custom reports?

Alternatives to compare

Alphabetical order, not a ranking.

OptionWhy a business might choose itWhy it might not
Dynamics 365 Business CentralSimilar scope for SMEs, and Microsoft 365 links. US list prices are published (Essentials US$80, Premium US$110 per user per month, paid yearly). Online and on-premises deployment exist.Sold through partners, like SAP. Kenya uses a partner localisation.
ERPNextOpen source under GPL-3.0, with no licence dependence. Self-host or use managed hosting. You need skills or a partner. Its README describes Docker setup as a demo, so plan production hosting properly.
NavigateOne system for sales, stock, accounts, payroll and operations, with direct M-Pesa and KRA eTIMS connections, per-organisation pricing and self-service registration.Smaller reach, no comparable partner network and no published installed base. Details below.
OdooWide app range with published per-user pricing. Online, Odoo.sh or on-premise hosting. Kenya eTIMS through OSCU. Mid-size firms work with local partners.Implementation services and maintenance of custom code are extra.
Zoho Books and Zoho InventoryA much lighter option with published Kenyan prices, if you do not need manufacturing or deep ERP.Smaller scope. You may outgrow it, or need other Zoho apps for wider needs.

Replace, or run alongside?

You may not need to replace SAP at all. Some businesses keep SAP Business One as the head office ledger and use a lighter tool in branches or for dealers.

Navigate has a SAP gateway, set up by the Navigate team for an organisation. Invoices, credit notes and receipts are posted to SAP Business One as they are issued, and if SAP does not accept a document, it is not issued in Navigate. This keeps the two in step, but it also means SAP being down can stop a sale, so plan for that. Dealer codes can also link dealers on Navigate to a supplier's SAP customer records.

When not to choose Navigate

Stay on SAP Business One if it works well, your partner serves you well and the cost is acceptable. Migration has a real cost and a real risk. Do not choose Navigate if you need many country localisations, a global partner network or a large library of industry extensions. Do not choose it if your group policy requires an established global vendor. Business Central or a well-run SAP partner would fit that better.

Where Navigate may not fit

  • Navigate has far less published global reach than SAP. Its live tax connection is KRA eTIMS, and interface languages are English, Kiswahili and French.
  • Navigate does not have a third-party extension library like the one SAP describes.
  • The SAP gateway stops a sale when SAP is down or refuses the document, by design. It covers invoices, credit notes and receipts, not every SAP process.
  • Navigate does not publish customer counts or independent ratings in this guide.

Frequently asked questions

Is SAP Business One too big for an SME?

Not necessarily. SAP designs it for small and midsize companies, and says firms can start with one user. The more useful question is whether its cost and partner model suit your business.

What does SAP Business One cost?

We could not read a price on the SAP pages we opened. It is sold through partners, so ask them for licences, maintenance and implementation as separate lines.

Can Navigate work with SAP Business One?

Yes. A SAP gateway, set up by the Navigate team, posts invoices, credit notes and receipts to SAP as they are issued. Ask us to confirm what your setup would need.

What is the closest alternative in scope?

Dynamics 365 Business Central and Odoo are closest in general scope, among the products we reviewed. We would not treat Navigate as a like-for-like replacement without a test on your own processes.
