Unpaid leave and absences in payroll

Days an employee is not paid for come from People - and come off gross pay before tax.

Steps

  1. In Payroll โ†’ Setup โ†’ From People, choose what counts: approved unpaid leave (on by default) and, if you record attendance, absences - working days with no clock-in, no approved leave and no public holiday.
  2. Choose the daily rate: basic salary (or basic + house + transport) รท the month's working days, or a fixed 26 or 30.
  3. Create or recompute the run. Each payslip shows a "Less: โ€ฆ days" line; the run lists everyone affected under From People - unpaid days.

Good to know

  • The days come off gross pay, so PAYE, NSSF, SHIF and the housing levy are on the reduced pay.
  • A day wrongly counted is corrected at the source - a manual clock-in or a leave request in People - then Recompute the run.
  • Paid leave types and requests not yet approved have no effect. Absences are only counted in a month where attendance was recorded, up to yesterday.
