Turn on vehicle and mobile-equipment management - it sets up its accounts, asset classes, expense items, a delivery-charge item and the "Vehicles & assets" cost dimension.
Steps
Go to Settings → Fleet management.
Read what will be set up: motor vehicle and mobile plant accounts with their accumulated depreciation, prepaid insurance, delivery revenue, insurance recoveries and the fleet cost accounts (fuel, parts, labour, outside repairs, tyres, insurance, licences, trip costs, hire, towing, accident costs, depreciation, financing); the asset classes Motor vehicles, Motorcycles, Trucks & trailers and Mobile plant; and the fleet expense items.
If Lease & rentals already uses a "Vehicles & assets" dimension, Fleet management shares it. Otherwise choose an unused dimension (5 by default).
Tick the confirmation and click Enable Fleet management. It appears under Operations.
Under Controls, choose the department dimension, the fuel tolerance, the maintenance and breakdown thresholds, the expiry warning days, whether trips need approval and whether expired compliance blocks allocation. Posting accounts lets you point each posting role at another account.
Good to know
Your plan needs Fixed assets and Accounting.
Only people with Settings - edit can switch it on or off. Check set-up adds back anything deleted; it never changes what you edited.
Switching it off hides the module - vehicles, history and accounts are kept.
