Best inventory management software in Kenya: what to look for

Selection criteria

Identity. Do you need to follow each item by serial, chassis or IMEI? Do you need batches with expiry dates?
Units. Do you buy by the carton and sell by the piece? Can each have its own price and barcode?
Locations. How many branches and warehouses? Do you need shelf or bin locations, or only warehouse level?
Costing. Which method does your accountant want: weighted average, FIFO or standard? Can landed costs be added to imported goods?
Link to accounts. Does a stock movement post to the ledger, or will someone re-enter it?
Stock counts. Can you count by warehouse, see differences, and post corrections with an audit trail?
eTIMS. KRA's rules make stock data matter. Odoo's documentation, for example, notes that products must be registered with KRA and that KRA does not accept sales of products that are out of stock. Ask how your system handles this.

Stock-only tool or full ERP?

A stock-only tool is quicker to adopt and is often cheaper. It works well if your accounts already run smoothly elsewhere and the two connect properly.

A full system earns its cost when stock errors and accounting errors share the same cause. For example, a goods receipt should update stock and the supplier balance together. A sale should reduce stock, post cost of sales and sign the invoice together. If two systems are doing this and someone is reconciling them each month, one system may save money.

What Navigate does for stock

Products can be imported from an Excel template, with a minimum level that triggers low-stock alerts.
Serial numbers are captured on receipt and chosen on sale, with history for each.
Pack sizes let you buy by the box and sell by the box or piece, each with a price and barcode.
Stock availability shows on-hand, committed and available by warehouse. Staff can request a transfer from another branch.
Imports track goods in transit, landed costs and costing, and stock is not sold until it is costed.
Stock counts show the differences, and posting corrects stock and the accounts.

When not to choose Navigate

Choose Odoo or Zoho Inventory if you need shelf or bin locations, as Navigate tracks stock by warehouse. Choose a focused tool such as Zoho Inventory if you sell mainly online and need ready-made Shopify or WooCommerce links. If your accounts run well in another package and stock is your only pain, you may not need to replace them.

Where Navigate may not fit

Navigate tracks stock by warehouse. It has no bin or shelf-level warehouse management, wave picking or warehouse automation.
Navigate has no ready-made connector for Shopify or WooCommerce. It has its own Marketplace and a REST API on plans with API access.
Stock levels need a connection to view. They are not available offline.

Frequently asked questions

Can I track stock in several branches?

Most systems here can, but some need a higher plan or an add-on. Xero, for example, points to Inventory Plus or an app for multiple locations. Ask for the price with your real number of locations.

What costing method should I use?

Ask your accountant. Weighted average is common because it is simple, and FIFO suits goods with clear age order. Check that your system supports the method before you migrate, because changing later takes care.

Do I need barcode scanners?

Not always. Barcodes help most at high-volume counters and in receiving. Test scanning on the system with your actual labels before you buy hardware.

Can stock counts be done on a phone?

Ask each vendor to show it. In Navigate, stock counts use a printed or on-screen count sheet with entered quantities. The offline phone screens cover customer visits and sales orders, not counts.
